Tips on Using the AIMS Data Manager Application:

 

You can use Ctrl-N and Ctrl-P to move to the "next" and "previous" screens in the ADM. 

 

Dates that include a time (initial contact and scheduled appointment) use a 24 hour clock.  For example, "Jan 9 2005, 1:30 PM" will be displayed as "01/09/2005 13:30" (and should also be entered in this format).

 

If you like, you can enter dates without slashes or other formatting characters, as long as you use 2 digit months and dates and 24 hour clock.  For example, "Jan 9, 2005" can be entered as "010920051330".  When you move to the next data item, the date will automatically change to show standard formatting.

 

If a dropdown already has a value, but needs to be blank, it can be cleared by hitting the backspace key while the dropdown has focus (i.e., is blue).

 

Most dropdowns use "first letter search".  If a dropdown has the focus, tapping a letter on the keyboard will move you to the first dropdown entry that starts with that letter.  If you tap the same letter again, you will move to the next entry that starts with that letter (if there is one).  If you press a different letter, the search will start over from scratch using the new letter.

 

However, a few dropdowns (diagnosis, service code, and county) use "incremental search".  Instead of each letter on the keyboard starting the search from scratch, the dropdown will remember the first few letters that are typed and look for a matching item.  For example, typing "908" for service code will take you to code 90801, while typing "90823" will take you directly to code 90823.

 

You can delete consumers or admissions that are entered in error, using the Delete button on the appropriate screen.  If you want to delete a consumer, all of the admissions for the consumer must be deleted first.  When you delete an admission, all of the data associated with that admission (chronicities, CSRs, services, etc) are automatically deleted as well.  Be careful when deleting data: deletes are not “undoable”.

 

There are two utility screens that are accessible via the View menu.  One allows you to change the admit date on an admission, and the other allows you to change the UID for a consumer.  Warning: these utilities can corrupt your data if used inappropriately.  Do not use these utilities unless you know what you're doing.
